Supply Chain and Admin Coordinator

About the role

The Response Supply Chain & Administration Coordinator leads and coordinates all supply chain, procurement, logistics, fleet, warehouse, asset management and administration functions for the Nepal Flash Flood Response, ensuring compliance with WVI policies, donor regulations and Nepalese government requirements.

Key responsibilities

• Maintain strong functional alignment with WVI Nepal Supply Chain Department and ensure all procurement activities comply with policies and donor requirements.
• Lead end‑to‑end procurement and supply chain operations for response and recovery activities, developing and monitoring procurement plans aligned with project schedules.
• Participate in procurement committee and supply chain review meetings, submitting regular procurement, inventory, logistics and asset reports.
• Manage purchase orders, amendments and supplier coordination to ensure timely delivery of goods and services, and coordinate closely with partner NGOs.
• Monitor procurement lead times, track supply pipeline status and proactively address bottlenecks affecting program delivery.
• Coordinate receipt, inspection, warehousing and dispatch of relief and recovery supplies, ensuring accurate tracking from procurement to final delivery.
• Support emergency procurement and rapid response requirements during disaster operations, maintaining complete and audit‑ready documentation.
• Manage general office administrative functions including utilities, insurance, vehicle tax, leave records and inventory management.
• Facilitate workshops, trainings and events, handling logistics, hotel coordination and invoice settlement.
• Oversee driver scheduling, vehicle logbooks, fleet maintenance, tax renewal and insurance, ensuring optimal fleet performance.
• Lead asset management policy implementation, safeguarding assets, updating the Asset Management System and ensuring timely disposal.
• Support national office processes for global insurance and REAM compliance.
