Pharmacy Assistant – Medicine Operations Executive

About the role

We are seeking a detail‑oriented Pharmacy Assistant to manage medicine orders, invoices, product verification, inventory transfers and customer queries. The role involves coordinating with internal teams to ensure medicines are accurately processed, stored and handled according to operational and quality standards.

Key responsibilities

• Review and process incoming medicine invoices, ensuring accuracy and proper record‑keeping.
• Process direct and indirect medicine orders received via WhatsApp and Viber.
• Investigate and resolve Missed, Damaged, Exchange (MDE) cases, coordinating appropriate resolutions.
• Inspect and verify returned or flagged products to ensure quality and compliance.
• Collaborate with the Customer Care Team to address inquiries related to medicine and non‑medicine products.
• Manage prescription orders through the company’s admin system.
• Coordinate medicine transfers between locations using the Syntax system.
• Maintain the pharmaceutical station, ensuring proper stock rotation, expiry‑date monitoring, product organization and hygiene standards.
• Keep accurate records of orders, invoices, product issues, transfers and inventory.

Required profile

• Bachelor’s degree or relevant qualification in Pharmacy, Healthcare, Business Administration or a related field.
• Pharmacy licence (mandatory).
• Prior experience in pharmacy operations, medicine distribution, healthcare operations or inventory management (preferred).
• Strong attention to detail and accuracy in handling invoices, orders and inventory records.
• Good communication and customer‑handling skills.
• Ability to investigate and resolve missed, damaged and exchange‑related product issues.

Required skills

• Proficiency with WhatsApp and Viber for order processing.
• Experience using admin/order management systems and inventory software.
• Familiarity with the Syntax system for medicine transfers.
