Admin & Import Coordination Officer

About the role

The Admin & Import Coordination Officer ensures smooth import operations, banking interactions, and documentation flow while acting as the key liaison between manufacturing, sales, and management teams. This role guarantees compliance with customs and banking requirements and supports timely communication across all stakeholders.

Key responsibilities

• Prepare and submit LC applications, Bi.Bi.Ni. declarations, and RTGS/TT forms, handling amendments and verifying pro‑forma invoices.
• Issue credit request letters, verify supplier invoices, and follow up with banks and transporters for document submission and customs clearance.
• Prepare margin release letters, monitor bank statements for security releases, and maintain accurate records.
• Liaise with insurance agents to arrange marine insurance policies and ensure premium payments are processed.
• Coordinate import and customs documentation, verify customs receipts and invoices, and ensure compliance with regulations.
• Maintain LC/RTGS records in Google Sheets and organize hard/soft copies for audits.
• Serve as primary contact between manufacturing, sales, and management, updating production schedules, inventory levels, and order status.
