Personal Assistant – US Property Operations

About the role

We are looking for a responsible, detail‑oriented Personal Assistant to manage day‑to‑day operations of a small US rental portfolio (four short‑term and two long‑term rentals) and provide light personal‑assistant support to the owner.

Key responsibilities

• Handle guest messaging on Airbnb, Vrbo, Booking.com and via Google Voice (phone/SMS) during US Pacific evening hours.
• Run daily short‑term rental rituals: check reservation status, coordinate turnovers, and track open issues.
• Schedule, chase, and verify completion of cleaners and vendors; perform double‑pay checks before payments.
• Manage tenant calls, rent follow‑ups, and coordination for long‑term rentals using Tenant Cloud.
• Process guest payments and refunds through Relay after owner approval.
• Order and track property supplies on Amazon and maintain smart‑home systems (Seam locks, Nest thermostats).
• Keep credentials up to date in 1Password and maintain property documents, tax filings, mortgage paperwork, and expense records.
• Maintain the Asana task tracker at SLA and send weekly status updates.
• Provide light calendar and travel support for the owner.

Required profile

• Highly organized with strong attention to detail.
• Proactive communicator able to work independently across US time zones.
• Comfortable handling financial approvals and vendor payments.

Required skills

• Experience with Airbnb, Vrbo, Booking.com platforms.
• Proficiency in Google Voice for phone/SMS communication.
• Familiarity with Asana task management.
• Knowledge of 1Password for credential management.
• Use of Relay for payment processing.
• Ability to order supplies via Amazon.
• Understanding of smart‑home devices such as Seam smart locks and Nest thermostats.
• Experience with Tenant Cloud for long‑term rental management.
