Sales Support Officer

About the role

The Sales Support Officer provides comprehensive administrative, documentation, coordination, and operational support to the Sales and Installation functions. The role ensures timely and accurate processing of sales documentation, coordination with OTIS India and internal departments, and management of Letters of Credit, order and shipment paperwork, forecasting and filing for elevator and escalator orders.

Key responsibilities

• Sales documentation and order processing, including verification of quotations, contracts, MDRs and maintenance of systematic sales files.
• Coordinate order confirmation and communication with OTIS India, handling pro‑forma invoices, draft LCs and scheduling meetings.
• Manage drawing and technical document flow between OTIS India, preparatory and installation teams, ensuring all required approvals are recorded.
• Process and follow‑up Letters of Credit, obtaining necessary signatures from sales, installation, accounts and management.
• Prepare monthly order and shipment forecasts and liaise with logistics, accounts and other departments to keep forecasts accurate.
• Maintain physical and electronic filing systems for all sales‑related documents and ensure confidentiality.

Required profile

• Strong documentation and record‑management abilities with high attention to detail.
• Excellent coordination and follow‑up skills across multiple internal and external stakeholders.
• Effective written and verbal communication.
• Ability to manage several tasks simultaneously and meet deadlines.

Required skills

• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Experience with ERP or similar business management systems.
