Admin & Import Coordination Officer

About the role

The Admin & Import Coordination Officer ensures seamless import operations, banking interactions, and documentation flow between manufacturing, sales, and management teams. This position guarantees compliance with banking and customs regulations while maintaining timely communication across all stakeholders.

Key responsibilities

• Prepare and submit LC applications, Bi.Bi.Ni. declarations, and RTGS/TT forms; manage LC amendments and verify pro‑forma invoices for HS codes and Incoterms.
• Issue credit request letters, verify supplier invoices, and coordinate with banks and transporters for document submission and customs clearance.
• Prepare margin release letters, monitor bank statements for security releases, and update records accurately.
• Liaise with insurance agents to arrange marine insurance policies under Ex‑works, FOB, or CnF terms and ensure premium payments.
• Coordinate import and customs documentation, verify customs receipts and invoices, and ensure adherence to trade agreements.
• Maintain LC/RTGS records in Google Sheets and organize hard/soft copies for audits.
• Act as primary contact between manufacturing, sales, and management, aligning production schedules with demand.
