Purchasing Officer – Import & Procurement

About the role

The company is looking for a Purchasing Officer to handle import purchase documentation, coordinate with vendors and internal departments, and ensure accurate recording of procurement data.

Key responsibilities

• Coordinate and collect import purchase documents from the Logistics & Procurement Department.
• Verify purchase and import documents such as Proforma Invoice, Commercial Invoice, Packing List, Insurance, Freight, Delivery Order, Bilty, Receipt and customs documents.
• Enter and update import purchase data in the OMS system.
• Record import‑related expenses including customs clearance, warehousing, insurance, freight, DO, loading and unloading charges.
• Maintain purchase vouchers and file documents for management review.
• Prepare weekly vendor ageing reports and coordinate payment plans with the Accounts Department.
• Monitor outstanding challans and work with the Store Department for timely updates and billing.
• Coordinate with vendors for ledger reconciliation, balance confirmation and discrepancy resolution.
• Maintain shipment, margin and credit shipment status and report to senior management.
• Prepare and compile purchase/import data for monthly VAT returns.
