Billing and Quotation Executive

About the role

The Billing and Quotation Executive will support Nest Furniture’s procurement, project and accounts teams by ensuring competitive vendor quotations, accurate client billing and seamless coordination across sites.

Key responsibilities

• Receive, compile and compare vendor and subcontractor quotations for materials, labour, MEP, joinery and fit‑out work, highlighting risks, savings and recommending the top options with justification.
• Maintain an up‑to‑date quotation database and price library, and present recommendations to the Project Manager or senior management for approval.
• Attend project and client meetings to verify site measurements, address quotation or billing queries, and explain cost details to clients when required.
• Assist the accounts team in preparing accurate progressive and final client invoices based on BOQ, approved rates and site progress, and prepare variation orders with supporting quotations.
• Cross‑check subcontractor and supplier bills against approved purchase orders and quotations, and generate weekly or monthly reports on cost‑saving achievements.
• Support procurement by creating purchase orders and work orders after quotation approval, following up on delivery schedules, coordinating with site teams and negotiating minor price or term improvements where possible.
