Import and Export Documentation Officer

About the role

The Import & Export Documentation Officer ensures that all shipment paperwork is prepared, verified and coordinated accurately, enabling smooth customs clearance and timely delivery. Working closely with clients, freight forwarders and internal teams, the officer plays a key role in maintaining compliance with international trade regulations.

Key responsibilities

• Prepare and verify import/export documents such as commercial invoices, packing lists, bills of lading/AWB, certificates of origin and insurance certificates.
• Coordinate with clients, suppliers, freight forwarders, customs authorities and internal departments to gather required documentation.
• Check documents for accuracy, completeness and consistency before submission.
• Maintain organized records of all import/export files and supporting paperwork.
• Track shipment documentation, follow up on missing or corrected items, and update records regularly.
• Support customs clearance and other regulatory documentation as needed.

Required profile

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, International Business or a related field (preferred).
• 1–3 years of experience in import/export, freight forwarding, logistics or documentation, or a strong knowledge base for fresh graduates.
• Ability to manage multiple shipments and deadlines with strong attention to detail.

Required skills

• Proficiency in MS Office.
• Experience with documentation management systems.
