Receiving Clerk

About the role

The Receiving Clerk ensures that all goods and supplies arriving at the hotel are accurately received, inspected, and recorded. This role supports seamless hotel operations by guaranteeing that the right items are available at the right time and meet quality standards.

Key responsibilities

• Receive all incoming goods and supplies, handling them according to established procedures.
• Verify deliveries against purchase orders, delivery notes, invoices, and other documentation for quantity, quality, and specifications.
• Inspect food, beverages, operating supplies, equipment, and other items for freshness, condition, quantity, and expiry dates where applicable.
• Identify and report damaged, incorrect, short, or excess deliveries to relevant departments and suppliers.
• Record received goods accurately in the hotel’s receiving and inventory systems.
• Prepare and maintain receiving records, goods receiving notes, delivery documentation, and required reports.
• Coordinate with Purchasing, Cost Control, Finance, Stores, Culinary, Food & Beverage, Housekeeping, and other departments to ensure timely receipt of goods.
• Handle perishable items promptly, store them under appropriate temperature and hygiene conditions, and check temperatures as required.
• Transfer received items to appropriate storage areas or departments in an organized manner.
• Maintain cleanliness, organization, and safety of the receiving and loading areas.
• Monitor documentation for returned goods, rejected deliveries, and supplier discrepancies.
• Assist with stock counts and inventory checks to support accurate inventory records.

Required profile

• Strong attention to detail and accuracy in handling deliveries and documentation.
• Ability to work collaboratively with multiple hotel departments.
• Good organizational skills to maintain a tidy and safe receiving area.
• Understanding of food safety, hygiene, and health and safety standards.
